Cancellation, Rescheduling & Refund Policy
Payment is made in full online once your booking is confirmed (no on-site payment). Cancellation timing is based on when we actually receive an identifiable cancellation notice, in Japan time (JST).
Cancellation by the participant
| When you cancel (JST) | Refund of lesson fee | Cancellation fee |
|---|---|---|
| 30+ days before | 100% | 0% |
| 15–29 days before | 75% | 25% |
| 8–14 days before | 50% | 50% |
| Within 7 days | 0% | 100% |
| No-show or after start | 0% | 100% |
The same rules apply to peak-season bookings (Dec 24–Jan 3, Feb 5–Feb 12).
Legal safeguard: cancellation fees, processing fees and any other amounts we retain, combined, may not exceed the “average damages” under Article 9 of Japan’s Consumer Contract Act. Any excess is refunded. We keep internal justification for our rates and explain the basis on lawful request.
Rescheduling
- A first reschedule requested 8+ days before the lesson, to a date with availability, is free of a reschedule fee; price differences are settled honestly (e.g. switching from off-peak to peak season, changing the course type, changing the duration, adding participants, or changing to a named coach — the difference is refunded or charged accordingly). If the date you want to change to has no availability, it is treated as a cancellation and rebooking, per the rates above.
- Within 7 days, or a second reschedule, is treated as cancel-and-rebook — still subject to the average-damages cap.
- Rescheduling depends on coach, resort and date capacity; it is not guaranteed.
Partial cancellation & group-size changes
Reducing a group’s size is calculated on the cancelled portion and the actual damages caused, not by mechanically charging the whole order.
Processing fees
Payment-processor fees (e.g. Stripe) that were actually charged and are not returned to us on refund are excluded from the refund amount. These fees vary by payment method, card, currency, cross-border status and plan, and are not treated as a fixed percentage.
Actual refund = fee paid × refund ratio − processor fee not returned − any new refund fee charged (if any) (minimum zero). If those fees are refunded and no new refund fee applies, no such deduction is made. All retained amounts are judged together and stay within the average-damages cap.
Cancellation by the School
If we cancel for staffing, an unavailable coach with no reasonable substitute, or other reasons attributable to us, we offer a free reschedule; if you choose a refund, a fully-cancelled lesson is refunded in full (we absorb the processing fee — it is not deducted from your refund), a partly-provided one refunds the portion not provided.
Resort closure, lift stoppage, extreme weather
If the core lesson cannot objectively be provided, we reschedule or refund the portion not provided; if an equivalent lesson can be done in the same or a reasonable alternative area, we may adjust, offering a reasonable choice for major changes. Snow, cold and normal visibility changes are ordinary winter conditions and are not automatic grounds for cancellation.
Refund method & timing
Refunds go back to the original payment method. We submit the refund to Stripe within 3 business days of the refund decision; after that, your bank typically posts the credit within 5–10 business days (actual timing depends on your bank).
